Privacy Policy
Effective October 13, 2026
The short version
- We collect only what we need to run WorkHorse for your business.
- Your data belongs to you. We do not sell it, rent it, or use it for advertising.
- Social Security numbers and QuickBooks credentials are encrypted when stored.
- You can disconnect QuickBooks at any time and ask us to delete your data.
This policy explains how Wisdom Way Tech (“we”, “us”) handles information in WorkHorse, our web application for small businesses, and on wisdomwaytech.com. By using WorkHorse you agree to this policy and to our Terms of Service.
Who is responsible for which data
Businesses (“customers”) subscribe to WorkHorse and enter information about their own operations and workers. For that information, the customer decides what is collected and why, and we process it on the customer’s behalf. If you are an employee of one of our customers and have a question about your information, please contact your employer first; we will help them respond.
For account information about the people who sign in to WorkHorse, and for this website, Wisdom Way Tech is responsible.
Information we collect
Account and company information
- Names, email addresses and roles of the people who use WorkHorse.
- Company name and contact details such as address and telephone number.
- Passwords, stored only as a one-way cryptographic hash. We cannot see your password.
- Sign-in and security records: last activity time, failed sign-in attempts, and an activity log of actions taken in your company’s account.
Payroll and project information you enter or upload
To prepare certified payroll reports (Form WH-347), customers provide:
- Project details, such as project name, number, location, wage determination and contractor contact details.
- Worker details, such as name, address, Social Security number, work classification and wage rates.
- Hours worked, pay, deductions and similar payroll figures, entered by hand or uploaded in payroll report files.
- Signature images and wage-rate files you upload.
- The WH-347 reports and backup spreadsheets WorkHorse generates from that information.
For positive-pay conversion, you upload a check-register export. WorkHorse converts it and returns the result to you. We record that a conversion happened, but we do not keep the uploaded or converted file.
QuickBooks information
If an administrator connects WorkHorse to QuickBooks Online, Intuit gives us access tokens that let WorkHorse read your QuickBooks company on your behalf. We store those tokens encrypted. We use the connection only to provide WorkHorse features you request. Today that means reading your QuickBooks company name and your list of active employees (names and email addresses) so you can add them to a project. We do not change data in your QuickBooks company, and we do not use QuickBooks data for any other purpose.
Cookies and technical information
WorkHorse uses one essential cookie to keep you signed in. It cannot be read by scripts on the page. We do not use advertising or analytics cookies, and this website sets no cookies at all. Like most websites, our servers and our network provider receive technical details with each request, such as IP address, browser type and the time of the request. We use those details to deliver the service and keep it secure.
How we use information
- To provide, maintain and support WorkHorse, including generating the reports you ask for.
- To secure accounts and the service, for example by locking accounts after repeated failed sign-ins and by keeping activity logs.
- To send account emails such as invitations and password-reset links.
- To comply with the law and respond to lawful requests.
We do not sell personal information, share it for advertising, or use customer data for any purpose unrelated to providing WorkHorse.
How we share information
We share information only as needed to run the service:
- Service providers that help us operate WorkHorse, such as Cloudflare, which carries and protects network traffic, and our email delivery provider. They may use the information only to provide their services to us.
- Intuit, when you choose to connect QuickBooks. Intuit’s handling of your data is governed by Intuit’s own privacy statement.
- Legal requirements. We may disclose information when required by law, subpoena or court order, or to protect the rights and safety of our customers, the public or Wisdom Way Tech.
- Business transfers. If Wisdom Way Tech is involved in a merger or sale, customer data may transfer to the successor, which must continue to protect it under this policy.
How we protect information
- All traffic to WorkHorse is encrypted in transit with HTTPS.
- Social Security numbers and QuickBooks access tokens are encrypted when stored.
- Each company’s data and files are kept separate, and users can see only their own company’s data.
- WorkHorse runs on servers we operate in the United States, which can be reached from the internet only through a protected network tunnel.
No system is perfectly secure. If we learn of a security incident that affects your data, we will notify you as required by law.
How long we keep information
We keep customer data for as long as the customer’s account is active. Federal rules require contractors to keep certified payroll records for several years. Please download and keep your own copies of generated reports; WorkHorse is not a substitute for your own record keeping. When an account is closed, we delete the customer’s data within 60 days unless the customer asks us to delete it sooner or the law requires us to keep it longer. Deleted data may remain in backups for a limited period before it is overwritten.
Your choices
- QuickBooks: an administrator can disconnect QuickBooks at any time from within WorkHorse or from the Apps section of QuickBooks. When you disconnect from within WorkHorse, we revoke and delete the stored tokens.
- Access, correction and deletion: customers can view and correct most information directly in WorkHorse. To request a copy of your data or its deletion, contact us at the address below.
- Emails: we send only account and service emails, not marketing emails.
Children
WorkHorse is a business service and is not directed to children under 16. We do not knowingly collect information from them.
Changes to this policy
We may update this policy as WorkHorse changes. We will post the new version here with a new effective date and, for significant changes, notify customer administrators by email or in the app.
